Claims Overview

Introduction

We will accept claim assignments by phone or fax; however, the most efficient way is to use our secure on-line claim management system.

This real time interactive system allows you to submit claims, check on the activity of active claims, review and post notes on the "Notes & History" log, receive and approve quotes for replacement.

HOW TO REGISTER:

Ask your supervisor or manager for your company User Name and Password. Click here for Claim Login screen:

Click on the tab labeled "Register" on the right hand side of the screen.

Enter the User Name and Password given to you by your supervisor or manager, and click "Login".

A new form will appear. Enter your personal information, select your User Name and Pass-word, and click "Submit Registration". The form will reappear for you to double-check the information. Click "Confirm Registration" at the bottom of the screen.

You have now successfully registered at Claim Closers!

SUBMIT A CLAIM

Click here for Claim Management Program:

Enter your User Name and Password.

Click on "Submit A Claim" in the red toolbar.

A claim form will now appear with all of your personal information already filled in.

The first question asks if it is OK to contact the insured at this time. Be sure to check the appropriate box as we will NOT be able to call the insured without your permission.

The special instructions box below is the perfect place to add additional info that we might not otherwise know from the claim facts such as, "Insured is leaving country next week for a month, please contact immediately" or "Insured is a teacher and can only be reached at home after 4 pm" etc.

All boxes that follow are self explanatory. If you have more than one item on a claim just fill out all the information for the first item, then click "Next Item". This will bring up a new screen for you to fill out the description, coverage limit, etc.

When you are finished click "Submit" at the bottom of the screen.

The claim screen will appear again for your to double check, add information or fill out missing information.

You must scroll down and click "Submit again in order to post your claim.

Don't Forget!! Click Submit TWICE!

VIEW ACTIVE CLAIM

Click here for Claim Management Program:

Enter your User name and Password.

Click On "Active Claims" in the red toolbar.

A screen will appear with all your current active claims.

In the "Replacement Status" column you will see one of the following:

"Awaiting Quote Approval" or "In Progress".

If the claim is awaiting quote approval, scroll to the right to see our quote. Then click the "Approved" or "On Hold" button in the quote status column. You may use the "On Hold" function if you are waiting for a police report or an SIU investigation.

The replacement status will also read "On Hold" if we were not given permission to contact the insured. Click "Authorize" to give us permission and this will change the replacement status to "In Progress".

If the claim is in progress, please your curser over the yellow "View" link in the next scheduled activity column (no need to click). A smaller window will appear that shows our notes telling you CJR's next activity.

If you wish to view the entire claim, click the Claim Number in the left column.

With the entire claim open, you can scroll to the bottom of the screen and click on "View/ Edit/ Print Notes and History". This will allow you to view what CJR has done to date to process this claim. If you choose to enter a note, please click before the date on the top line and press enter. Now, your note will appear on top so that we will see it immediately. You must not click "Submit Changes".

VIEW CLOSED CLAIMS

Click on the "Cost Analysis" link in one of two places:

  • On the red toolbar after you login
  • In the upper left hand corner of your Active Claims window

All the closed claims from the current month will appear.

If you have no closed claims for this month, you must use the "search by" function and enter the Insured's last name or claim number in the box labeled "Find". Now click on the "Search" button.

On this page you will see the replacement cost, amount saved, new scheduled amount, schedule increase and how many days it took to close the claim. You are still able to view the entire claim by clicking on the claim number.

If your manager has given you a higher security level on this page, you will have a "View Branch Report" button. You can use this to view all the claims from your office.
